Request for Proposals: Hot Lunch Program
Oakland Steiner School is seeking an independent contractor to provide our hot lunch program for 4-days/wk. Our goal is to provide our grade school students with fresh and nutritious food and support healthy eating habits.
Three main components:
1. Quality Ingredients: organic or locally-grown: fresh fruits and vegetables, whole grains, fish, poultry, meats and dairy. No processed food and refined carbs - for example but not limited to; no food coloring, brominated vegetable oil, bromated flour, Olean, MSG, Preservatives butylated hydroxyanisole (BHA) and butylated hydroxytoluene (BHT) , Growth hormones rBGH and rBST. Limit added sugar.
2. Freshly prepared, nutritious and tasty menu items
3. Accommodate special diets: allergy information will be provided, gluten free option
Typically 25 to 45 lunches are purchased daily however this could increase as student enrollment increases. The school has a commercial kitchen available for meal preparation and serving. Dishes and equipment available and included. The school has set up an online lunch ordering form on our website to increase ease of program administration.
Hot Lunch Contractor responsibilities:
o Contractor will be responsible for: menu development, ordering and obtaining food and supplies and meal preparations.
o Contractor will be responsible for: serving meals to children between 12:30 to 1:00 PM.
o Contractor will be responsible for: Collection of dishes, Clean-up of dishes and equipment.
o Contractor will be responsible for: Bookkeeping including student orders, billing and receivables, maintenance of program documents and other activities as deemed necessary.
o Contractor is responsible for: all food costs, labor costs, direct costs and food service director cost(s), Payment of rent amount $20/wk to the school for use of the commercial kitchen in the school.
o Contractor agrees to monitors the food service operation to ensure that the food service is in conformance with safe food handling, program regulations, maintains applicable health certifications and assures that all State and local regulations are being met and program review and audit findings are resolved.
o The contractor sets the prices to be charged to the children for meals. The school administrator approves the pricing. The price has been $5/lunch or $5.50 for gluten free/special diet requests.
o It is expected the contractor and any employees or representatives of the contractor will treat children and adults with dignity and respect at all times. All food service workers must pass a background check.
Please include in your proposal:
o To help us understand your approach to our hot lunch program, please provide a sample of 5-10 lunch menus with your proposal
o Indicate your anticipated suppliers for ingredients
o Provide an estimate of the amount you will charge to families per child lunch
o Detail your experience in meal preparation/similar or related work.
o Please indicate the insurance coverage you carry.
o Provide at least three professional references.
Our goal is to move towards zero-waste. As in all things sustainable, “zero-waste” is a process, not a destination. The goal is for all the waste generated from the hot lunch program to be either reusable, recyclable or compostable. We would like to accomplish this, in part, by composting 100% of our food and paper waste here at the school.
Proposals will be received by the School Administrator until 3:00pm on August 25, 2014.
A decision will be made and communicated by Sept 2, 2014 with anticipated start of the program by September 8, 2014.
